In 2022, we rolled out multi factor authentication for greater security as an opt in process. Though due to the increasing prevalence of infostealer malware and stolen login credentials MFA will be mandatory for all SimpleClinic users from 1st Oct 2026.


To use this you will require a password manager capable of generating TOTP based tokens.  There are many commercial and free password managers that support TOTP.  Saving passwords in your browser will not generally support TOTP tokens. 


A few examples of password managers that support TOTP based tokens are 1Password, Google Authenticator or DashLane.


For a FREE solution you can download the official Google Authenticator app.


Important Notes: 

  • The OTP comes from your authenticator app that you configured during MFA setup. Please note the OTP, a 6 digit number regenerates every 30 - 60 seconds. DO NOT TYPE A SPACE BETWEEN THE NUMBERS.
  • You can see that you have the option to not ask for this every time - keep in mind this is bypassing the two factor authentication level of security.
  • If you have multiple SimpleClinic user logins, you will need to setup a separate MFA code for each login. Within your authentication app you will be able to edit the name of each MFA so you can identify which user login each code is for.
  • Every user must have their own unique SimpleClinic user login and setup their own MFA app.


The steps below show how to enable and use multifactor factor authentication. 



Step 1. Choose the authentication app you what to use. 


Open your chosen chosen authenticator application.  Our example below is the google authenticator app, if you have chosen a different authentication app you will need to follow their own steps to add a new MFA code. 


Click on the plus button a the bottom of the app.





Step 2. Log into SimpleClinic -> hover over your email address -> select Your User Profile -> select Enable Multifactor Authentication 




Step 3.  Scan the SimpleClinic QR code. Be careful to only do this once and know which authentication app your setting up!



Step 4. Your authentication app will provide you a one time password -> enter this in the field as below and select submit. 


The one time password comes from your authenticator app that you configured in Step 1. Please note the OTP, a 6 digit number regenerates every 30 - 60 seconds.







Step 5. Next time you log into SimpleClinic you will be asked for a One Time Password --> open your authenticator application to get the password ( a 6 digit number ) for SimpleClinic --> enter this in the field as below --> select Submit. 



Troubleshooting tips:

If your verification code isn't working

  1. Make sure you are using the code for SimpleClinic, not another account or service.
  2. Enter the code before it expires. Authenticator codes regularly refresh.
  3. Check that the date, time and time zone on your phone are correct. Google Authenticator relies on your device's time settings to generate the codes.
    • iPhone: Go to Settings > General > Date & Time and make sure Set Automatically is turned on. If it is already on, you can try turning it off, waiting a few seconds, and turning it back on.
    • Android: Open the Google Authenticator app, go to the main menu (tap your profile or three lines), select Settings > Time correction for codes, and tap Sync now. You can also ensure your phone's main settings have Automatic Date & Time enabled.
  4. Make sure you are entering the latest code displayed in the app.
  5. If the code has just changed, wait for the next code to appear and try entering that one.
  6. Don't share the MFA code with another user. Two users cannot use the same MFA code.
