Important Information
- Archived or Discontinued Ingredients cannot be added to prescriptions, see this article for more information.
- For Herbal Ingredients ensure you select the right option. For example Herbs listed as DISPENSARY are coming from the Ariya Liquid Dispensary feed which can be used when ordering from Ariya or another third party.
- If dispensing from your own stock refer to the following article to set up your Liquid Herbal inventory.
- Hide any items in your Inventory that you don't use to make selection easier.
The Herbal Builder will display only the inventory items which have a product type of "Liquid Herbal" and container status set to "no" for ingredients. If you cannot find the correct herb either the container or ingredient is not set up correctly - please check your latest inventory updates and contact support@simpleclinic.net if you need assistance.
Adding a Liquid Herbal
Step 1: Select Add Item button at the bottom of the prescription -> search for and select the appropriate sized container, for example 100ml, 200ml or 500ml liquid herbal -> complete the prescription item dosing instructions as shown on the following window.
Please note: if you regularly prescribe more than one of the same size liquid herbal, please add separate containers for these, e.g. Liquid Herbal 200ml and Liquid Herbal 200ml (2). So that they can be differentiated when printing labels, ordering online, or sending to Ariya.

Step 2: When a liquid herbal container is selected, scroll down to see the extra fields to add ingredients to your bottle.
Follow each point and image as below.

- Type the name of the ingredient -> click search -> enter the required amount (mL) next to the ingredient -> click the + button to add it to your blend
- Repeat these steps for each ingredient you want to include, checking that the ingredient list and total volume at the top are correct as you go -> once you've added all of your ingredients, click Confirm.
See this article for more on prescriptions.
Invoice for a Liquid Herbal
Step 3: Select Invoice Prescription if required
The configuration setting to sell at per ml or container price is found under Business Setup-> Your Clinic -> Finance tab -> Patient Invoice Settings -> Sell liquid herbs / compounding at container price.

Charging per mls for your Herbal Blends
If you charge per mL for each herbal, your invoice screen will look like the following. In this example, the Unit Price cost from the inventory item for each herb is multiplied by the Qty to give a total price for each herbal.
By default your SimpleClinic account will be set to charge Liquid Herbal blends per mls of the ingredients in the bottle.
You can update this setting under Business Setup --> Your Clinic --> Select the Finance Tab --> Select or unselect 'Sell liquid herbs / compounding at container price' --> SAVE.
Liquid Herbal Blends Batch numbers and Expiry
The invoice screen also allows you to enter the batch numbers and expiry dates for the selected herbs.

Please note: If you have recorded an order for the liquid herbs you are prescribing, the expiry and batch number will automatically come across from the order for the specified liquid herbs. This information comes up on the invoice it will be there the next time you prescribe the same herb.
Refer here for more information regarding Batch and Expiry for your herbal stock.
Charging per bottle for your Herbal Blends
If you charge per container, your invoice will look like the following. You can delete the herbal ingredients from the invoice ONLY if you are not tracking stock levels. The ingredients must remain on the invoice if you need to track stock levels.
You can update this setting under Business Setup --> Your Clinic --> Select the Finance Tab --> Select or unselect 'Sell liquid herbs / compounding at container price' --> SAVE.
Then remember to set a price for your Liquid Herbal bottles under your Inventory Menu.
